Decision Guide 2: Strategy & Configuration

Scope Refinement

Based on your responses in Decision Guide 1, we have prepared this targeted guide to finalize the strategy for your upcoming migration.

1

Company Structure & Scope

Commission Deal Handling Critical Requirement
Enable Solution Per our email discussion: We can configure Zoho CRM so that only "Buy & Resale" deals sync to Zoho Books. "Commission-Only" deals can remain in CRM (or sync to a different entity) to keep Entech's books clean.

Please confirm your preferred workflow for Commission Deals:

Payroll Integration Scope

We discussed multi-state payroll (12 employees, 3 states). Is migrating Payroll to Zoho part of this project?

2

Migration & Finance

Migration Depth Critical Decision
Enable Recommendation Migrating full transaction history from QBO is complex and risky. We recommend migrating Lists + Opening Balances (2-3 units effort) and keeping QBO accessible for historical lookups.

What is the primary driver for requesting "Multi-Year History"?

Chart of Accounts Approach
Enable Recommendation We recommend having the Enable Team review your Chart of Accounts first. Post-review, we will finalize the implementation strategy to ensure optimal reporting.
3

Inventory & Operations

Inventory & Kitting Strategy

To ensure we build the right workflow, we need to understand the lifecycle of your parts.

Do you have a document that describes the entire process including parts sourcing, quoting, invoicing, and AR tracking?

How many items require a simple copy/paste in the invoice vs. adding them into Inventory for later use? What % are repeat vs. new entries?

Bill of Materials (BOM)

Do you have a document that describes your assembly/BOM process?

Warehouse & Fulfillment

Is this your own warehouse or a vendor? In other words, do you ship to yourselves to stage for clients, or do you ship directly to clients (drop-ship)?

4

Billing & Sales Workflows

Quoting Process
Opportunity Moving quoting from outside QBO into Zoho CRM eliminates double-entry and improves visibility.

Interest in moving Quoting to Zoho?

Progress Billing Requirements

We understand the mechanics (Deposit -> Fab -> Ship). Now we need to understand the vision.

Please describe how you want your billing process to feel or how you envision it working ideally.

How many hours per week might you save if you had a more streamlined process?

What % of your orders are "Outside of Project" vs. Project-based?

What area of your process works best, and which has the most friction?

What is the current process for triggering a billing event, and how could it be improved?

Related to Sales Order creation - please confirm/describe how the invoicing is currently created.

5

Banking & Tax

Bank Feeds & Reconciliation

Please describe your concerns and your idea for entering banking data into Zoho.

Are you planning to reconcile all of your accounts in Zoho Books?

Sales Tax Strategy

Regarding sales tax: Are you okay having a report of what is owed to each state and then making the payment directly to each state filing (Manual)?

6

Security & Readiness

CRM Privacy
Data Sharing Control We can configure the integration so that only relevant deal types sync to Books, and sensitive data (Payroll, Commissions) is hidden from general users via Role Permissions.

Which data types must be hidden from Sales Reps?

Implementation Readiness

How would you describe Entech's approach to process changes?

Training & Support

Describe the type of documentation that you would like around your training.

Backups & Data Security

Describe your backup requirements for your business financial management.

Enable Security Promise We want to ensure Entech that we have not only migrated clients from Quickbooks, but we also migrated our own company off Quickbooks to Zoho Books. We ensure the integrity of your data and keep the highest standards of data security offered, including the professional liability insurance that we carry.
